Exporting and deleting your data
Export everything as XLSX or JSON, disconnect your ledger, and delete a business. What is kept, for how long, and why.
Updated
Your data is yours to take and to remove. Export and deletion are self-serve and available on every plan, including while read-only after a trial.
Export everything
Settings → Data → Export produces a download of everything held for the business, as an XLSX workbook or JSON:
- Watched addresses and every transfer, with prices and evidence.
- Matches, with the rule or person behind each.
- Every entry posted to the ledger, with its ledger reference.
- Treatment policy versions and account mapping.
- The audit trail.
Close packs are downloaded separately from each month under Close.
Disconnect the ledger
Settings → Ledger → Disconnect stops all reads and posts and revokes Gladpaid's access. Entries already posted stay in QuickBooks or Xero.
Delete the business
- 01
Export first
Download the close packs and the export. After the purge they cannot be recovered.
- 02
Delete
An Owner chooses Settings → Data → Delete business and confirms.
- 03
30 days to change your mind
The business is hidden and inactive for 30 days. An Owner can restore it in that time.
- 04
Purge
After 30 days everything is permanently deleted.
What is kept, and why
| Record | Kept for |
|---|---|
| Audit events and close packs | 7 years while the business exists; after deletion, only as long as the law requires |
| Transfers and matches | The life of the business |
| Support emails | 2 years |
| System logs | 30 days |
| Billing records | As long as tax law requires, minimal fields only |
