Connecting QuickBooks Online
How the QuickBooks connection works, what Gladpaid reads, what it writes, and how to disconnect.
Updated
Gladpaid connects to QuickBooks Online through Intuit's own sign-in. You never give us a QuickBooks password. The same step can create your Gladpaid account, so for most people connecting QuickBooks is the whole sign-up.
Connect in four steps
- 01
Choose Connect QuickBooks
On sign-up, or later from Settings → Ledger. You are sent to Intuit to sign in.
- 02
Pick the company
If you can see several QuickBooks companies, choose the one whose invoices get paid in stablecoins. One Gladpaid business connects to one ledger.
- 03
Approve access
Intuit shows the permission Gladpaid asks for: accounting access, and nothing else.
- 04
Back in Gladpaid
Your customers, open invoices and chart of accounts load in the background while you add a receiving address.
What we ask for, and what we never ask for
QuickBooks offers only one accounting permission, and it covers both reading and writing. Gladpaid needs the write half for one reason: to record the Payment that marks an invoice paid, and the journal entries for fees and settlement differences. It writes ledger records only. A QuickBooks Payment record is bookkeeping; it cannot move money.
What we read
- Customers: name and ID, so a receipt can be tied to the right customer.
- Open invoices: number, amount, dates and status.
- The chart of accounts, so you can pick where entries go (see Account mapping).
- Company settings, including home currency and the books close date (see Locked periods).
We do not read bank feeds, payroll or employee records. Every write we make is logged in the audit trail, and we never delete anything in QuickBooks that Gladpaid did not create.
Disconnecting
Go to Settings → Ledger → Disconnect. Gladpaid stops reading and posting immediately and revokes its access token with Intuit. Entries already posted stay in QuickBooks: they are your books. Your matches and audit trail stay in Gladpaid until you delete the business (see Exporting and deleting data).
