Gladpaid

For owners and their bookkeepers · QuickBooks Online & Xero

Your USDC payments, matched and marked paid.

Customers pay straight to your own wallet, and QuickBooks or Xero never hears about it. Gladpaid watches those addresses read-only, matches each receipt to the invoice it settles, values it with evidence, and posts a real payment so the invoice actually closes.

14 days free, no card. Runs on your own last month of receipts. Read-only on your wallets.

The diagnostic

See what your AR is hiding.

Connect your ledger, paste the address customers pay, and in a few minutes you get a one-page statement of last month: what arrived, which invoices it settles, and how far receivables are overstated.

  • Runs on your own data, not a demo company.
  • Nothing posts to your books until you say so.
  • Share it as a PDF or a link. It is the page a bookkeeper forwards to the owner.

Figures are illustrative. Yours come from your own ledger and your own addresses.

How it works

Four steps, about ten minutes, once.

After that, overnight receipts are matched before the bookkeeper opens the laptop. Most days take two minutes.

  1. 01

    Connect your ledger

Sign in with QuickBooks Online or Xero. That one step creates your account and loads open invoices, customers and the chart of accounts.

  2. 02

Paste the address you are paid to

The chain is detected from the format. One address is checked on Base, Ethereum, Polygon and Arbitrum at once; Solana and Tron too.

  3. 03

    Watch receipts land on invoices

Each receipt is valued at its block time and matched by explicit rules. Every match shows why. Anything unclear waits for you.

  4. 04

Post, and the invoice reads Paid

Preview the entries and what the ledger will show afterwards, then post native payments. Undo is one click and leaves an audit record.

Matching

It shows its working.

Rules, not a black box. Three confidence tiers, and a machine match never looks like one a person made.

High

Why: Memo reads INV-1043

One unambiguous candidate on a strong signal. Matched quietly, with a one-line reason.

Medium

Why: Amount matches; payer is new

A plausible single candidate on a weaker signal. Matched, visibly marked, and one tap to change.

Low

Why: Two open invoices fit

Never guessed. The receipt sits beside the candidates and you choose, split it, or mark it as a transfer, a loan or a refund.

Every correction becomes a rule for that business only. Nothing is pooled across customers. How matching works

Accounting treatment

Stablecoins are not automatically cash. Your books should not pretend they are.

It is common to see USDC filed as a cash equivalent and left there. US GAAP does not say that for a business holding it in its own wallet, and FASB's August 2026 proposal would not either. Gladpaid sets out each treatment with the standard it comes from, applies the one your accountant chooses, and versions the choice so a change is visible at review.

  • Cash equivalent, as a recorded electionASC 230-10-45-6 · FASB proposal, Aug 2026Needs a direct issuer redemption right

“This is how ASC 350-30 treats it. Your accountant decides.”

Month-end

A close you can sign, and a pack you can hand over.

A checklist that fills itself in, the wallet balance tied to the ledger at the last block of the month, sign-offs, and a close pack with every entry and its evidence. The close is on every plan.

After sign-off the period locks. Reopening takes a reason and leaves a record. Month-end close with stablecoins

Two people, one tool

Built for the owner who pays and the bookkeeper who does the work.

For the owner or controller

Minutes a month
  • A monthly summary email: stablecoins received, invoices closed, fees paid on-chain against what a card processor would have charged.
  • Activate from the bookkeeper's email in one click. No new tool to learn, no login needed.
  • Confidence the books are right, with the evidence attached.

For the bookkeeper

Two minutes a day
  • Do everything except pay: connect, run the diagnostic, prepare entries, then send it to the owner to activate.
  • One keyboard-first queue, ordered by what blocks the close.
  • Entries you can defend to the reviewer: every number carries its source.

Bookkeeping practices

Run every client's stablecoin receipts from one queue.

A firm console with a cross-client queue and a close board, published wholesale pricing, and your name and logo on the close packs your clients receive. You are billed; you set your own price.

Custody

It reads. It never moves money.

Never holds funds

Payments go from your customer to your own wallet. There is no escrow, no routing and no moment where money sits with us.

Never asks for a key

Paste a recovery phrase or private key and it is refused on the spot, never saved, never logged, and you are told why.

Ledger scope for entries only

Accounting access to post payments and journals. Never payment, bank-feed or signing permissions.

Encryption through a cloud key service, database-enforced isolation, required two-factor sign-in and a tamper-evident audit trail. Security & custody

What Gladpaid does not do

Card-style stablecoin checkouts through Stripe, Shopify or PayPal settle to the processor, and you receive dollars, so there is nothing on-chain to reconcile; those already reconcile like card payouts. We cover money that arrives in a wallet you control, including a Shopify USDC payout you opted into. We do not do tax reporting, trading, DeFi or portfolio accounting, and we give no accounting or tax advice.
