Account mapping

Choose or create the ledger accounts Gladpaid posts to: wallet, fees, gain or loss, suspense and customer overpayments.

Updated

Before anything posts, you tell Gladpaid which accounts in your chart of accounts to use. It never assumes a default. For each one you can pick an existing account or have Gladpaid create it with the name you choose.

The accounts

AccountWhat posts to it
Wallet account, one per watched address and tokenReceipts from customers and transfers out.
Network feesFees paid on-chain and exchange withdrawal fees, per your policy.
Stablecoin gain or lossSettlement and price differences, per your policy.
Unidentified receipts (suspense)Receipts not yet classified.
Customer overpaymentsAmounts customers sent beyond the invoice.

Which type the wallet account has to be

The ledger only lets an invoice payment land in certain account types, and that decides the wallet account's type:

Ledger and home currencyWallet account type
QuickBooks OnlineBank account (in USD).
Xero, US dollar base currencyCurrent asset with Enable payments to this account switched on.
Xero, any other base currencyBank account in USD (needs a Xero plan with multicurrency).

If you pick an account of the wrong type, the wizard says why and offers to create the right one. Name wallet accounts clearly, for example "USDC – Main receiving wallet".

Changing the mapping later

Settings → Account mapping shows the current choices. A change applies to entries posted from then on; entries already posted stay where they are. Each change is recorded in the audit trail.

Step-by-step walk-throughs: Recording a USDC payment in QuickBooks and in Xero.
